The best invoicing software for UK freelancers isn’t always full accounting software, sometimes a dedicated invoicing tool gets the job done for a lot less money.

Xero and FreeAgent (covered in our best accounting software guide), are built to run your whole business’s books. That’s overkill sometimes. If all you need is to send a professional invoice and get paid, a dedicated invoicing tool is cheaper and simpler to live with. Here’s what’s available in 2026, checked directly against each vendor’s current pricing pages.

Zoho Invoice, the free invoicing software

Zoho Invoice is free, with no forced upgrade lurking: up to 2 users, 3 active projects, and 500 invoices a year at no cost whatsoever. It upsells toward Zoho Books or Billing once you outgrow those limits, but for a solo freelancer just starting out, the free tier is a real, usable product rather than a crippled trial dressed up as one. Invoice Ninja. Free invoicing software plus a self-hosted option

Invoice Ninja’s free plan covers 5 clients with unlimited invoices, and its Pro plan starts at $14/month. It’s also open-source, so if you’d rather run it on your own server for full data control, that’s an option most competitors simply don’t offer. Worth checking its current settings for UK VAT fields directly before assuming full VAT-invoice support, we couldn’t independently confirm this detail. (Source: Invoice Ninja pricing)

FreshBooks

FreshBooks has no permanent free tier, just a 30-day trial, with UK list pricing of £16/£30/£42 a month (excluding VAT) across its Lite/Plus/Premium plans, though promotional pricing (often 50% off for the first three months) gets advertised regularly. Its standout feature for freelancers doing client work is built-in time tracking plus a client portal, useful if you bill by the hour. Confirm UK-specific VAT invoicing support on its UK product page before relying on it: this wasn’t something we could confirm from the pages checked.

Bonsai

Bonsai is aimed at client-services freelancers who want contracts, proposals and invoicing all sitting in one place, rather than invoicing on its own — invoicing itself needs at least the Essentials tier, roughly $19 to $25 a month. There’s a 7-day trial but no free plan to speak of. Worth it if you want contract templates bundled in; overkill if invoicing is all you’re after.

Hiveage

Hiveage’s free plan covers 5 clients, with paid tiers starting around $19/month (Hiveage prices in USD only, with no separate GBP pricing). It leans toward recurring and subscription billing, which suits freelancers with retainer clients better than one-off project invoices.

Invoicing software to skip for UK freelancers: Wave

Wave shows up constantly in US content, but since November 2020 it’s restricted in-app invoice sending and reminders for users outside the US and Canada, UK users can only export invoices as a PDF manually, with no ongoing platform support for sending them. (Source: Wave. Changes for users outside the US/Canada) Not a good fit here, despite turning up in every generic “best invoicing software” list going.

Still deciding on the best invoicing software for UK freelancers? Start free and only pay once a tool actually saves you time or gets you paid faster. Most freelancers switch at least once as the business grows, and that’s completely fine.

Out of everything on this list, Zoho Invoice is the one most people should try first, it costs nothing until you need more.

  • Just starting out, want £0 cost: Zoho Invoice.
  • Want to self-host or need a real free tier with more headroom: Invoice Ninja.
  • Bill by the hour and want time tracking baked in: FreshBooks.
  • Need contracts and proposals alongside invoices: Bonsai.
  • Mostly retainer or recurring clients: Hiveage.

All of these are built for invoicing specifically: once you need proper bookkeeping, VAT returns, and Making Tax Digital compliance in one place, that’s the point where full accounting software takes over instead.

One more thing worth factoring in before you commit: switching invoicing tools later means re-entering clients, past invoices and payment history by hand in most cases, since exports rarely map cleanly between platforms. The best invoicing software for UK freelancers is usually the one that’s cheapest to leave, not just cheapest to join, check the export options before you build months of records in any of these.
